motive8 Group comprises of multiple business divisions. A recent increase in management contracts in health and fitness facilities has resulted in staff operating out of several sites. The storage and sharing of information was becoming more and more fragmented. Staff working in locations other than HQ were often never really getting to understand the business as a whole, or becoming integrated into the wider team. Following a meeting with the new Head of Operations, it was agreed that an Intranet was required to act as a central storage hub of company documents and as a portal for internal communications.
We began the project by carrying out ‘scoping’ meetings with key members of staff that would be involved in managing and maintaining the Intranet post development. A wireframe was then drafted and after various incarnations, approved by all directors and managers. We created a full project brief and contracted our associate website partner to work alongside us on the project. Together, we sourced a suitable WordPress template that would give us the option to up-scale the site in the future. We selected a number of features that make the site more interactive to encourage employee engagement and ongoing usage. Once all the relevant documents and information were uploaded, the template was motive8 branded, thorough testing carried out and staff training delivered to all site administrators. The site was launched to all employees via an email campaign and team presentations.
motive8 now have a user-friendly Intranet, housing all their company documents, including HR, policies and procedures and marketing materials. The site also has a calendar for employee events and a blog for the latest news. An internal communications schedule has been created to ensure regular information and updates are posted to the site and a memo is then emailed to the relevant staff teams to notify them of the update, encouraging them to log-on. We are continuing to work with motive8 to look at further ways to increase employee engagement through the site, such as linking it to a team Facebook group and adding plug-ins for an HR portal and staff training. It’s the first time that staff have had open and easy access to all this information and both inter- and cross-department communication is 100% improved.
